Viewing and managing patients on waiting lists
Depending on your permissions, you can view and manage waiting lists from Outpatients > Manage > Waiting Lists. You can move one or more patients to another waiting list.
Viewing and managing patients on waiting lists on a mobile
You can't do this on a mobile.
Viewing and managing patients on waiting lists on a desktop

From Outpatients > Manage > Waiting Lists, select your search criteria.
Use the table below to choose your search criteria.
Division
Select a division to search for patients on a waiting list for that division.
Specialty
Select one or more specialties to search for patients on a waiting list for those specialties.
For example, patients on waiting lists for trauma and orthopaedics.
Type
Select the type of waiting list.
Waiting List
Select a waiting list. Clinic Select a clinic to search for patients on waiting lists for that clinic. -
Select .
A table appears.

Double-click on a patient to view the waiting lists they are on.
From the bottom right of the screen, select to open another window. This allows you to view all the patients on a waiting list, and the waiting lists a specific patient is on, at the same time.

From Outpatients > Manage > Waiting Lists, you can view all the patients on a waiting list, and transfer patients between waiting lists.

Here you can select the criteria for your search. To clear one search term, select next to the search term. To clear your whole search, select next to . |

Select to view details about a waiting list a patient is on. From here, you can add notes, and you can record that the patient needs to remain on the waiting list. |
Transfer Waiting List |
Select to transfer one or more patients to another waiting list. Read more about transferring patients to another waiting list |
Send letter |
Select to send an ad-hoc letter to one or more patients. |
Send Initial Partial Booking Letter |
Partial booking is available for specific waiting lists. The specific waiting lists depend on your organisation. Read more about partial booking Select to send the initial letter to the patient, and start the partial booking process. |
Cancel Partial Booking Process |
Select to cancel the partial booking process. |

From Outpatients > Manage > Waiting Lists, select your search criteria.

Select a patient.

Select Show details.

Select Add Note.

Enter any notes.

Select Save.

You can check the details of a waiting list entry are accurate and up to date, and check if the patient still needs to be on the waiting list.
If the patient still needs to be on the waiting list, you can record this. For example, if a patient is on a waiting for surgery, you might validate that they still need the surgery.

From Outpatients > Manage > Waiting Lists, select your search criteria.

Select a patient.
The waiting list entry must have the status 'Validation Required'.

Select Show details.

Select Set Validation Complete.

Enter any notes.

Select Save.

If you marked a waiting list entry as validated in error, you can undo this action.

From Outpatients > Manage > Waiting Lists, select your search criteria.

Select .

Select a patient.
The waiting list entry must have the status 'Validation Complete.

Select Show details.
-
Select Undo Validation Complete.

Enter any notes.
-
Select Save.

You can move patients between different waiting lists. For example, if a consultant leaves, you might move a patient to a waiting list for a different consultant.

From Outpatients > Manage > Waiting Lists, select your search criteria.

Select .

Select one or more patients.
They can be on different waiting lists.

Select Transfer Waiting List.

Select the waiting list you want to move the patients to.

Select Transfer.
The patient is moved to the waiting list you chose.

From Outpatients > Manage > Waiting Lists, select your search criteria.

Select one or more patients.
They can be on different waiting lists.

Select Send letter.

Select a letter you want to send.
The following appear:

The name of the letter

The recipient of the letter

How the letter is delivered

When Nervecentre sends the letter
For example, immediately, at a set time, or after a delay.

Any attachments automatically added to the letter

Optional: edit the name of the letter.

To preview a letter:

From Preview for, select a patient to preview the letter for that patient.

Select Preview.

To edit the letter, select Editor.

To add attachments to the letter:

Select

Search for an attachment, or browse folders until you find an attachment.

Select an attachment.

Select

Select outside the dialogue box.

To save the attachments you added, select Yes.

To sign a letter, or to remove a signature from a letter:

From Preview for, select a patient to preview the letter for that patient.

Select Preview.
-
Select Sign off.

Select an option.
-
To sign the letter with your name, select Sign.

To sign the letter for someone else, select Sign as, then select their name.

To remove a signature from the letter, select Un-sign.

Send the letter.

To send the letter after any specified delay, select Send.

To send the letter immediately with no delay, select Send without Delay.

Partial booking allows your organisation to ask patients on a waiting list to contact your organisation to book an appointment. To do this, your organisation sends letters to the patient before the target date of the appointment. These letters tell the patient how to contact your organisation to book an appointment.
If partial booking is available for a waiting list:

You can manually send the initial letter to the patient

Or, Nervecentre can automatically send the initial letter to the patient a specific number of days before the target date of the appointment
This depends on how your organisation has set up its waiting lists. Nervecentre might not automatically send the initial letter, and if it doesn’t, that means you must manually send the initial letter.
Nervecentre automatically sends a reminder letter to the patient a specific number of days after the initial letter was sent. Nervecentre sends two reminder letters to the patient.
Depending on your organisation, Nervecentre might send a discharge letter to the patient if they haven't contacted your organisation within a specific number of days after the last reminder letter.

On the 1 March, you add the patient Kate Thimble to a Dermatology waiting list, and the target date of their appointment is 28 March. Partial booking is available for this waiting list.
You can send an initial letter immediately on the 1 March, or wait for Nervecentre to automatically send an initial letter on the 3 March, which is 25 days before the target date.
You send the initial letter on the 1 March. If Kate Thimble doesn't respond to the initial letter, Nervecentre automatically sends a reminder letter 5 days after the initial letter, on the 6 March, and a second reminder letter 10 days after the initial letter, on the 11 March.
If Kate Thimble doesn't respond to any of the letters, Nervecentre automatically sends a discharge letter 10 days after the reminder letter, on the 21 March.

You can send a patient an initial letter that tells them they need to contact your organisation to book an appointment.

They can be on different waiting lists, but those waiting lists must support partial booking.

Select Send Initial Partial Booking Letter.

Partial Booking updates to show '1st Letter Sent'.

You can cancel the partial booking process for a patient on a waiting list. You can do this before the last letter is sent to the patient, for example, either the last reminder letter, or the discharge letter. You might do this if a patient contacts you to say they no longer want to be on the waiting list, or they no longer need an appointment.

Select entries where partial booking has been started, but the final letter hasn't been sent.
They can be on different waiting lists, but those waiting lists must support partial booking.

Select Cancel Partial Booking Process.
Partial Booking updates to show 'Partial Booking Cancelled'.
